How this works

What makes a record safe to reuse

A shared drive is storage. A repository is storage plus the answers a colleague needs before they dare cite something. Every knowledge item carries an owner, a status, a current version number and the version it superseded, so "the latest one" is a fact rather than a guess about file dates. Approval is a state on the record, not a memory of a conversation.

  • An owner — a named person accountable for whether it is still true, not whoever uploaded it.
  • A version, with the version it replaced recorded, so a superseded claim cannot quietly return.
  • An approval status, so an unreviewed draft is visibly not the same thing as an approved record.
  • Type, tags and language, so the same record can be found by someone who describes it differently.
